Map demand across the event area
Describe entrances, activity zones and peak attendance when asking about toilets and washing. A single estimate can hide different demand at simultaneous activities. Include vendors and volunteers, and ask how the proposed placement supports usable routes rather than concentrating every facility at one corner.
Coordinate visits with the organiser
Agree how suppliers access the facilities while the event operates and who can resolve restrictions. Discuss the cleaning and supply arrangement for each session. The wider event permissions and safety plan remain the organiser’s responsibility and are not granted by an equipment quote.
Who can make access decisions while the crowd is present?
Describe the proposed positions, busiest intervals and supplier approach to the organiser before confirming equipment. Identify the contact who can resolve an obstruction during agreed service windows. Include people working outside public hours so the support arrangement follows the full programme rather than ending automatically when the visitor gates close.
